Read the dashboard and reports

The dashboard (Program overview) and Reports page count your participants by status and show two rates. Engagement rate (shown as "Engaged or completed" on the dashboard) is Engaged plus Completed divided by all participants; completion rate is Completed divided by all participants. Billing figures appear only once a seat purchase has been paid.

FirstSourceTeam's employer portal shows your program's numbers from the same records your HR team and FirstSourceTeam update, so the dashboard reflects a participant's new status within about 30 seconds rather than in a monthly report. Every metric is a count of participants by status, or a percentage of all participants in your organization, except the billing figures, which come from your organization's paid seat purchases and refunds.

Both admins and viewers can see the dashboard (Dashboard in the sidebar) and the Reports → Overview page.

How the rates are calculated

All rates use the same denominator: every participant in your organization, including those who declined or expired. Percentages are rounded to the nearest whole number, and show 0% when you have no participants.

MetricWhere it appearsFormula
Engaged or completedDashboard header(Engaged + Completed) ÷ all participants. Shows — when you have no participants
Engagement RateReports → Overview(Engaged + Completed) ÷ all participants. Same number as Engaged or completed
Completion RateReports → OverviewCompleted ÷ all participants
Total ParticipantsReports → OverviewCount of all participants in your organization
Avg Days to CompletionReports → OverviewFor Completed participants: the average number of days from service start date to completion date, rounded to a whole number. Shows — when nobody has completed

Engaged and Completed are statuses: Engaged means the participant has started the program, and Completed means their placement has been recorded.

The dashboard's heading is Program overview.

SectionWhat it shows
Billed to datePaid seat charges minus completed refunds, for all time, in dollars and cents, with the same figure for the current calendar month (UTC) underneath. Charges and refunds that are still pending, failed, or being handled by FirstSourceTeam by hand aren't counted until they complete. Shows No billing yet until your organization has a paid seat purchase
Engaged or completedThe engagement rate, defined above
Invitations not sentShown when some participants with an email address haven't been sent their invitation yet. The link opens the participant list filtered to them. See Send invitations
Billed by packageThe same billed-to-date amount split by package, with the number of seats bought. A row Not linked to a seat purchase covers any refund or charge that isn't tied to a purchase, so the rows always add up to Billed to date. Shows No billing yet until there's a paid purchase
Participant ProgressFor Completed, Engaged, Contacted and Scheduled: that status's count ÷ all participants, as a percentage. Statuses at 0% are hidden. The heading shows the total
Recent ActivityThe 10 most recent entries in your participants' activity histories (additions, status changes and declines): the participant's name (a link to their details), the change (or, for an addition, how they were added), the status it left them in, and how long ago. Individual "invitation sent" entries are left out here; they're on each participant's page and in the audit log. View all opens the audit log
Status cardsOne card per status (Scheduled, Contacted, Engaged, Declined, Completed, Expired) with its count and its share of all participants

Participant FlowA flow diagram of how many participants moved from each status to the next, built from every recorded status change (by an admin, by the participant platform, or a decline). It appears once at least one status change is recorded
Status BreakdownA bar split by status, with the count for each status that has at least one participant
By TierThe number of participants on each plan

How fresh the numbers are

Report figures are cached for up to 30 seconds. When someone in your organization adds or removes a participant or changes settings, the cache is cleared and the next page load shows the new figures.
