Set your program defaults
Under Settings → Organization, admins set the service start offset, the number of days (0 to 365) after a participant's exit date that their service starts. The portal uses it to pre-fill the service start date when you add someone.
FirstSourceTeam lets your HR admins set program defaults themselves in the employer portal, under Settings → Organization. The main default is the service start offset: how many days after a participant's exit date their service starts. When you add a participant one at a time, the portal fills in their service start date from it.
Change the service start offset
- Go to Settings → Organization.
- Under Program Defaults, select Edit. (Viewers don't see this button.)
- Enter the number of days after the exit date, from 0 to 365.
- Select Save. If the value is outside 0 to 365 or the save fails, the reason is shown under the field and nothing changes.
The new offset applies to participants you add after saving. It doesn't change anyone already in the
portal. The change is recorded in the audit log as org.settings_updated, with the old and new
value.
How the offset is used
When you add a participant with Add Individual, the Service start date fills in as the exit date plus your offset as soon as you enter the exit date. An offset of 0 means service starts on the exit date. The hint under the field shows the rule used. You can type a different date for that participant; once you do, changing the exit date no longer overwrites it.
When you upload a file, each row's service start date is its exit date plus your offset, unless you choose The same date for everyone in this file on the mapping screen.
The service start date matters because:
- the participant's service end date is calculated from it and the plan you assign;
- while a participant is Scheduled, the portal counts down the days until it.
