Quickstart for HR admins
Accept the admin invitation FirstSourceTeam sends you, finish the short setup (company details, default plan, optional payment method), add your first participant (or upload a CSV of up to 500), send their invitation, and invite your HR teammates.
You can go from an empty employer portal to your first participant receiving their invitation in a few minutes, without a kickoff call: an admin adds the person, then sends their invitation when they're ready. This page walks through it in order.
Before you start
- A portal account. FirstSourceTeam creates your organization's portal and sends your first admin an invitation link for your work email address. The link works for 7 days. There's no self-serve sign-up. If you don't have an account or your link has expired, email hello@firstsourceteam.com.
- The admin role. Only admins can add participants, send invitations and invite teammates. Viewers have read-only access. See Accounts and roles.
- For each participant: first name, last name and exit date. A personal email address is optional but needed for the invitation email; without one, FirstSourceTeam reaches out by phone.
1. Sign in
- Go to firstsourceteam.com/portal and sign in.
- Enter the email address FirstSourceTeam set up for you.
- Enter the 6-digit sign-in code we email you. If your company has single sign-on set up with FirstSourceTeam, you sign in through your company's login instead.
You land on the portal dashboard. If you see No Portal Access, the email you signed in with isn't linked to an organization; sign out and use the address FirstSourceTeam set up, or email hello@firstsourceteam.com.
If a colleague invited you instead, open the invitation email and accept it; see Accept an invitation.
2. Finish setup
The first time an admin signs in, the portal opens Set up your portal before anything else. Viewers skip it and go straight to the portal.
- Company: confirm your company name and choose your industry and company size.
- Default plan: choose the plan new participants get unless you pick another when you add them. The four plans are Essentials, Professional, Leader and Executive.
- Payment: optionally add a payment method, or select Skip for now. You can add one later in Settings → Billing.
- Finish: check your answers and select Finish setup. If saving fails, the page says so and you can try again.
You can change these details later in Settings.
3. Set your service start offset (optional)
The service start offset is how many days after a participant's exit date their service begins. The portal uses it to fill in the service start date when you add someone.
- Go to Settings → Organization.
- Under Program Defaults, select Edit.
- Enter the number of days after the exit date (0 to 365) and select Save.
See Program settings.
4. Add your first participant
- Go to Participants → Upload, or select Add Participants on the Participants page.
- Choose Add Individual.
- Fill in First name, Last name and Exit date, and their Personal email if you have it. The Service start date fills itself in from your offset; you can change it.
- Optionally add Phone, Previous role and a Launch group.
- Check the Service tier, which is the plan you assign to this participant: Essentials, Professional, Leader or Executive. It starts on your default plan.
- Select Add Participant.
The participant is created with the status Scheduled. They haven't been emailed yet.
To add many people at once, choose Add Multiple instead and upload a CSV or Excel file. See Add participants.
5. Send their invitation
Once the person has been told about their exit:
- Select Send invitation (on the confirmation after adding them, or on their participant page).
- Check the email details in the confirmation and select Send 1 invitation.
They get an email with a Get Started link and a link to decline the services. See Send invitations.
6. Invite your HR teammates
- Go to Settings → Organization.
- Under Team Members, select Invite.
- Enter their email address and choose a role: Viewer (read-only, the default) or Admin (full access).
- Select Send Invitation.
They get an email with an Accept Invitation link that expires after 7 days, and must sign in with that same email address to accept. Until then the invitation is listed under Pending Invitations, where you can revoke it.
