Export participants, the audit log and status history as CSV

Admins export from Reports → Overview → Export Data. Export participants downloads every participant (up to 10,000) with their additional details as columns; Export audit log downloads the organization's audit log; Export status history downloads every participant status change. Each export is capped at 10,000 rows and recorded in the audit log.

FirstSourceTeam lets your admins download your program's data themselves as CSV files, any time, from the employer portal: the participant list, the audit log and the status history. Go to Reports → Overview, scroll to Export Data, and select Export CSV under the export you want.

Exports need the admin role. Viewers don't see the Export Data section.

If an export fails, or there's nothing to export yet, the portal says so under the button and nothing is downloaded. If an export reaches the 10,000-row limit, the portal tells you that the file holds the newest 10,000 rows.

Export the participant list

  1. Go to Reports → Overview.
  2. Under Export participants, select Export CSV.
  3. Your browser downloads fst-participants-YYYY-MM-DD.csv, dated today.

The file has one row per participant, up to 10,000 rows, newest service start date first. Columns:

Export the audit log

  1. Go to Reports → Overview and, under Export audit log, select Export CSV. Or go to Reports → Audit Log and select Export audit log: that export uses the filters you've set on the page (action, participant, dates).
  2. Your browser downloads fst-audit-log-YYYY-MM-DD.csv.

The file has one row per audit log entry, newest first, up to 10,000 rows. Columns:

ColumnContents
timeWhen it happened, in ISO 8601 format
eventThe action, as shown in the audit log (for example Status changed)
actionThe action's code (for example participant.status_changed)

Export the status history

  1. Go to Reports → Overview.
  2. Under Export status history, select Export CSV.
  3. Your browser downloads fst-status-history-YYYY-MM-DD.csv.

The file has one row per activity entry (status changes, additions, invitations sent, declines) across all participants, newest first, up to 10,000 rows. Columns:

ColumnContents
createdAtWhen it happened, in ISO 8601 format
participantIdThe participant it belongs to; matches id in the participant export
participantNameThe participant's name
fromStatusStatus before the change. Empty for entries that aren't a status change: the participant being added, or their invitation being sent
toStatusStatus after the change
noteNote recorded with the change
changedByWho or what recorded it, for example System

This is the participants' status history, the same entries shown on each participant page. It is not the organization-wide audit log.

Every export is logged

Each export adds a Data exported entry to the audit log with your name, the type of export (participants, audit or status_history), the number of rows, and whether the 10,000-row limit was reached. An audit log export also records the filters used.

Handling the files

The participant and audit log exports contain personal data: names, email addresses and job details of people who have left your organization. Store and share it under your organization's own data policies.
